
Since 2018, Synergize has held a major refurbishment and maintenance contract with VIVO Defence, overseeing facilities maintenance for the Ministry of Defence’s Infrastructure Organisation. As a major public sector contract representing one of the most important parts of our nation, Synergize has been continually committed for six years to providing the absolute highest quality of maintenance to these properties. For environmental and NetZero works, Synergize utilise their specialist division Synzero to deliver all requirements.
Safe, effective property maintenance
Each year, Synzero surveys and performs vital maintenance and refurbishment on over 1400 properties in VIVO’s portfolio. These are void properties not currently in occupation, taken temporarily out of rotation for essential works before being returned to the occupied housing stock. As a result, efficient and safe completion, delivered right first time, is paramount to Synzero’s operations.
Synzero’s work with VIVO is led by five void surveyors, conducting their work through industry-leading digital survey methods. Using the specialist software iAuditor, Synzero are able to create detailed building assessments shared instantaneously with VIVO to allow for a fully-transparent discussion of needed works.
From there, Synzero collaboratively devises a programme of work alongside VIVO in order to deliver efficiently and to the client’s specifications. In order to assure consistent quality across the programme, Synzero performs most maintenance works in-house via its specialist teams, including:
- Ventilation
- Damp and condensation proofing
- Window and door replacements
- Insulation and energy-efficiency
Where additional works are needed outside of Synzero’s core purview, it hires trusted subcontractors from within its rigorously-assessed supply chain, providing seamless integration into its main team to complete works with minimal disruption to the client.
Strong, ongoing relationship
Synzero have worked closely with VIVO for six years, and now perform £9 million of work for them each year. Such a strong and proven working relationship requires quality maintenance and a high level of trust, which Synzero has been proud to foster. Synzero has a contract manager assigned to VIVO’s case, taking operational responsibility for all aspects of the contract.
Before any works are carried out on a batch of housing stock, Synzero meet with VIVO to discuss the exact needs and priorities of the programme. By centring the client’s needs, Synzero can deliver a tailored experience focused on what matters most to its customers. Where there are building users or staff, Synzero’s contract manager meets with them prior to commencement, taking questions giving information to build buy-in across the whole staff body. At the end of each programme of works, Synzero offers a client satisfaction survey as part of a commitment to ongoing service improvement—and so that if the ongoing renewal of its contract was not enough, the quality of service can be proven by our customer testimonials.
Thorough reporting clients can trust
All of Synzero’s works are underpinned by rigorous reporting, with a focus on building quality and safety. At the outset of each programme, reporting metrics and KPIs are agreed with VIVO to shape the works to their needs. These form the basis of weekly progress reports delivered throughout the course of works—and are complemented by Health & Safety, quality assurance, and cost analysis measures to keep a transparent and open relationships with VIVO.
Over the past several years, Synzero have worked closely with the VIVO project team to develop post-completion reports tailored to their specific requirements—including customer service reporting and quality auditing. This allows Synzero to deliver above and beyond its duties as a buildings contractor, delivering additional efficiency and value for money to its clients in the long term.
